Hyland and John Carroll University Accelerate Campus-Wide Deployment of 10 Major OnBase Solutions

OnBase hosted in the Hyland Cloud strategically empowers operational excellence and academic competitiveness

As part of its Strategic Plan to nurture an engaged campus, John Carroll University implemented 10 major OnBase by Hyland solutions — all hosted in the Hyland Cloud — in 10 months through a close collaboration with Hyland. The institution-wide rapid deployment of OnBase, a single enterprise information platform, replaces a portfolio of niche, locally developed custom-code applications to better support departments across the university.

All solutions — including graduate student petitions, new hire and annual evaluations, core curriculum review and IT change management — align with institutional goals of advancing a culture of data-informed decision making. The solutions are also strategic uses of technology to ensure excellence in all academic and administrative processes.

“In the past, John Carroll struggled with the support challenges of one-off, locally developed and difficult-to-use workflows,” said John Sully, director of enterprise applications at John Carroll University. “Through our partnership with Hyland and the strength of the OnBase platform, we have quickly developed multiple, easy-to-use campus-wide solutions without significantly increasing IT support efforts.”

John Carroll University, which enrolls about 4,000 students each year, rolled out its OnBase campus IT strategy in January 2016, starting small with a single solution critical to student services. After a successful launch of the Undergraduate Academic Petition Process solution in the Office of the Registrar, university IT staff began efforts to expand OnBase across campus.

By selecting OnBase hosted in the Hyland Cloud — a secure, privately managed, multi-instance cloud hosting architecture — John Carroll University has immense flexibility. Users do not need software installed on desktops or extensive training, freeing up valuable time. Users on campus also benefit from the browser- and platform-agnostic solution, granting access to faculty, staff and students on Macs, PCs and mobile devices.

The John Carroll University IT staff currently has a waiting list of departments requesting OnBase solutions, and they anticipate completing a similar number of projects in the next 12 months.
